What are Workflow Rules & Why it is required?

Workflow Rules are a set of actions (alerts, tasks, and field updates) that are executed when certain specified conditions are met. These rules automate the process of sending email alerts, assigning tasks, and updating certain fields of a record when a rule is triggered.

The Google Sheet extension requires workflow rules to be set up on installation of the extension in order to trigger an auto export from Zoho CRM to Google Sheet. The following are the different types of workflow rules which we will set up automatically in your Zoho CRM account upon installation of the extension.

Note:  You can disable the rules whichever is not required so that you can eliminate unnecessary workflow triggers. By default, every workflow rule will be enabled upon installation. 

Create Workflow Rules

Create Lead 

This rule will be executed when a lead is created and it will be executed for all leads. On execution, it will call New Auto Create Leads in Google Sheet function.

Create Task 

This rule will be executed when a task is created and it will be executed for all tasks. On execution, it will call New Auto Create Tasks in Google Sheet function.

Create Purchase Order

This rule will be executed when a purchase order is created and it will be executed for all purchase orders. On execution, it will call New Auto Create Purchase Orders in Google Sheet function.

Create Call 

This rule will be executed when a call is created and it will be executed for all calls. On execution, it will call New Auto Create Calls in Google Sheet function.

Create Vendor

This rule will be executed when a vendor is created and it will be executed for all vendors. On execution, it will call New Auto Create Vendors in Google Sheet function.

Create Campaign

This rule will be executed when a campaign is created and it will be executed for all campaigns. On execution, it will call New Auto Create Campaigns in Google Sheet function.

Create Solution 

This rule will be executed when a solution is created and it will be executed for all solutions. On execution, it will call New Auto Create Solutions in Google Sheet function.

Create Sales Order

This rule will be executed when a sales order is created and it will be executed for all sales orders. On execution, it will call New Auto Create Sales Orders in Google Sheet function.

Create Quote

This rule will be executed when a quote is created and it will be executed for all quotes. On execution, it will call New Auto Create Quotes in Google Sheet function.

Create Account

This rule will be executed when an account is created and it will be executed for all accounts. On execution, it will call New Auto Create Accounts in Google Sheet function.

Create Contact

This rule will be executed when a contact is created and it will be executed for all contacts. On execution, it will call New Auto Create Contacts in Google Sheet function.

Create Deal

This rule will be executed when a deal is created and it will be executed for all deals. On execution, it will call New Auto Create Deals in Google Sheet function.

Create Case

This rule will be executed when a case is created and it will be executed for all cases. On execution, it will call New Auto Create Cases in Google Sheet function.

Create Invoice 

This rule will be executed when an invoice is created and it will be executed for all invoices. On execution, it will call New Auto Create Invoices in Google Sheet function.

Create Pricebook 

This rule will be executed when a price book is created and it will be executed for all price books. On execution, it will call New Auto Create Price Books in Google Sheet function.

Create Meeting 

This rule will be executed when a meeting is created and it will be executed for all meetings. On execution, it will call New Auto Create Events in Google Sheet function.

Create Product 

This rule will be executed when a product is created and it will be executed for all products. On execution, it will call New Auto Create Products in Google Sheet function.

Edit Workflow Rules

Edit Lead 

This rule will be executed when a lead is edited and it will be executed for all leads. On execution, it will call New Auto Edit Leads in Google Sheet function.

Edit Task 

This rule will be executed when a task is edited and it will be executed for all tasks. On execution, it will call New Auto Edit Tasks in Google Sheet function.

Edit Purchase Order

This rule will be executed when a purchase order is edited and it will be executed for all purchase orders. On execution, it will call New Auto Edit Purchase Orders in Google Sheet function.

Edit Call 

This rule will be executed when a call is edited and it will be executed for all calls. On execution, it will call New Auto Edit Calls in Google Sheet function.

Edit Vendor

This rule will be executed when a vendor is edited and it will be executed for all vendors. On execution, it will call New Auto Edit Vendors in Google Sheet function.

Edit Campaign

This rule will be executed when a campaign is edited and it will be executed for all campaigns. On execution, it will call New Auto Edit Campaigns in Google Sheet function.

Edit Solution 

This rule will be executed when a solution is edited and it will be executed for all solutions. On execution, it will call New Auto Edit Solutions in Google Sheet function.

Edit Sales Order

This rule will be executed when a sales order is edited and it will be executed for all sales orders. On execution, it will call New Auto Edit Sales Orders in Google Sheet function.

Edit Quote

This rule will be executed when a quote is edited and it will be executed for all quotes. On execution, it will call New Auto Edit Quotes in Google Sheet function.

Edit Account

This rule will be executed when an account is edited and it will be executed for all accounts. On execution, it will call New Auto Edit Accounts in Google Sheet function.

Edit Contact

This rule will be executed when a contact is edited and it will be executed for all contacts. On execution, it will call New Auto Edit Contacts in Google Sheet function.

Edit Deal

This rule will be executed when a deal is edited and it will be executed for all deals. On execution, it will call New Auto Edit Deals in Google Sheet function.

Edit Case

This rule will be executed when a case is edited and it will be executed for all cases. On execution, it will call New Auto Edit Cases in Google Sheet function.

Edit Invoice 

This rule will be executed when an invoice is edited and it will be executed for all invoices. On execution, it will call New Auto Edit Invoices in Google Sheet function.

Edit Pricebook 

This rule will be executed when a price book is edited and it will be executed for all price books. On execution, it will call New Auto Edit Price Books in Google Sheet function.

Edit Meeting 

This rule will be executed when a meeting is edited and it will be executed for all meetings. On execution, it will call New Auto Edit Events in Google Sheet function.

Edit Product 

This rule will be executed when a product is edited and it will be executed for all products. On execution, it will call New Auto Edit Products in Google Sheet function.
